Be part of a professional design and project management team that is a cornerstone of Outreach Marketing division - equipping Christian churches nationwide to reach their communities for Christ. As part of the Print Project team, the Project Coordinators manage all personalized project orders for church customers. This requires the proven ability to multi-task, display exceptional customer service skills and be an excellent communicator and multi-tasker.

MISSION (Job Summary):                                                            

  • The Project Coordinator manages all customized project orders as assigned as the single point of contact (SPOC). He/she ensures the efficient processing of orders, accurately communicates customers needs, and facilitates problem-solving where necessary in order to meet or exceed customer expectations on all designed products. on time, with the least amount of proofs and revisions.

 

OUTCOMES (Job Task, Metrics or Accountabilities):        

  • Process customer orders in a timely and orderly manner by checking accuracy, clarity and completeness of order information, art assets, and customer specific information. This includes but not limited to:
    • Verify correct indicia and return address information according to postal regulations for in-house mailings.
    • Correct pricing for product and design services.
    • Correct finish on products and obvious layout issues.
  •  Ensure all orders have proper production time to produce.
  • Be the key point of contact for all orders currently in process. Communicating with internal and external customers at all times. this includes but not limited to:
    • Assist in prioritizing of orders to ensure that orders are being designed on time.
    • Assist the Graphics Tech (Artwork Approval) when client interaction and re-submission of artwork is necessary.
    • To identify additional cost needs and provide change order for design fees and shipping upgrades when applicable.
  • Provide follow up calls/emails to ensure that orders are not delayed and that any customer requests, questions, concerns and expectations are efficiently handled.
  • Track production phase of each project to ensure order are being produced and shipped on schedule.
  • Contribute recommendations for improvements and efficiencies to workflows for project management.

  Accountability & Metrics

  • Reduce error rate to or above 98% for all tasks. This includes but is not limited to:
    • Customer Incident Reports
    • Mailing with wrong indicias
    • Upgrades to shipping due to slow or non-follow up by PC

 

COMPETENCIES (Job Requirements, Skills, or Knowledge):

  • Attention to detail and ability to quickly identify potential confusion in orders that result from missing or inaccurate information.
  • Ability to take direction from the Manager.
  • Ability to work well with peers in a high-pressure environment and to remain professional at all times.
  • Ability to manage multiple email boxes simultaneously
  • Ability to multi-task and accurately identify workflow delays, order issues and re-directions required.
  • Ability to take ownership of his/her role and provide excellent support to both the sales and design teams.

Experience:                       

  • 3 5 years customer service and/or sales experience, preferably in a print or design environment.
  • Excellent computer and multi-tasking skills.
  • Proven experience in administration and project coordination in a deadline driven environment.
  • Working knowledge of art and design terminology.
  • Previous experience working in a print environment is highly beneficial.
  • Above average problem solving and communication skills.
  • Working in high-stress environments.
