Here's what a Mail Operations Clerk Does:

Ink Jet Operation:

This function consists of checking in cards, pulling samples, data processing, ink-jetting, sorting, bundling, strapping, sacking/palletizing and weighing orders to prepare for carrier pickup or Outreach transportation to the post office.

List Preparation:

Receives mail lists and formats, sorts and prepares data for use on the mail house inkjet equipment

Other Duties:

When the need arises the Mail Operations Clerk may also be trained to help in other areas within Outreach. This can include Banners, Production, Assembly, Shipping, Warehouse, Receiving, Facilities or other areas. This is a shared responsibility expected at all operational levels. Tasks will be assigned by your supervisor. 


Duties include utilizing our company van or box truck for routine pick up and deliveries to various vendors/companies within the greater Colorado Springs or Denver metro areas.

Functional Role

Performs these duties in such a manner that results in a product that conforms to USPS regulations and is processed to meet necessary shipping requirements and specified in-home delivery dates for Outreach customers and vendors. These duties will be regularly scheduled on a weekly or bi-weekly basis.   

Basic Tasks 

  • Verifies postal information on the job sleeve and the physical cards to ensure that the data points are correct for USPS verification and clearance
  • Scaling/counting out sample cards for direct customer shipping
  • Keeps production area organized for easier job identification and functionality
  • Processing daily company mail if assigned by Manager or Supervisor
  • Machine set-up and Inkjet addresses onto mail pieces properly and according to the Customer, Outreach, USPS standards as stated in the Outreach job sleeve
  • Completely preparing shipments for vendor pick-ups/deliveries according to Outreach standards
  • Processing daily company mail if assigned by Manager or Supervisor
  • Closing orders with detailed and accurate information
  • Process and prepare data files using a variety of software programs
  • Tracking Orders on behalf of our co-workers in other departments and customers
  • Organizing supplies
  • Complete all driving logs and checkpoints accurately, honestly
  • Checking inventory levels of Mail Services supplies
  • Deliver outgoing order(s) to the USPS Post Office in an efficient, safe and timely manner.
  • Completely preparing shipments for vendor pick-ups/deliveries according to Outreach standards
  • Organizes and accurately prepares required paperwork for customers, USPS, and vendors
  • Backs up Supervisor as needed.

Working Conditions:

  1. Regular standing, walking, bending, lifting and pushing. (Must be able to lift 50 - 70lbs unassisted)
  2. Must be able to push rolling stock up to 2,500 lbs
  3. Use of mechanical equipment and tools comprise more than 50% of each working day.
  4. Exposure to machinery noise on open manufacturing floor for more than 50% of each working day.
  5. Intermittent periods of stress a few times during the working year.
  6. Regular interaction with colleagues and/or customers and/or vendors. (25% - 50% of the working day.)
  7. Works in both climate and non-climate controlled areas.

Material handling experience a must. Will train to understand company requirements and machine operation but must be familiar with the operations environment. Must have basic computer skills.  A CDL is not required but familiarity and experience in handling a 15' or more box truck is necessary but must have a clean driving record (proof will be required at job offer)
